A Club Fundraising Report
The environmental club at Willow Junior High planned to make a small garden beside the school entrance. The club set a fundraising goal of six thousand yen for new plants and tools. At its first meeting, forty students promised to donate one hundred yen each. The club wrote down the promises, but no money had been collected yet. Sara, the treasurer, reminded everyone that a promise was not the same as a payment.
By Wednesday afternoon, thirty of those forty students had paid their one hundred yen. Sara recorded three thousand yen from students. The other ten students had not paid at that time, although some said they might bring the money later. On Wednesday, two parents also made donations of six hundred yen and four hundred yen. Sara added those donations to the student payments and confirmed that the club had actually received four thousand yen in total.
Ken, the club secretary, prepared a report. His first draft said, “We received four thousand yen from forty students.” Sara asked him to check the records again. The forty students had promised to donate a total of four thousand yen, but only thirty students had paid. The two parents had supplied the additional one thousand yen. Ken rewrote the report to show who had paid and what had been promised.
On Thursday, the club spent one thousand eight hundred yen on soil and small plants. The students kept the receipts and entered the expense in their notebook. After that purchase, two thousand two hundred yen remained from the money actually received. However, the club had not reached its original six-thousand-yen fundraising goal. Spending some of the money did not mean that the goal had been reduced.
At the next meeting, one student suggested counting the ten unpaid promises as money already received. Sara said this would make the balance incorrect. She explained that the team could mention those promises separately, but it must not add them to the cash it already had. The teacher agreed and asked the club to report the fundraising total, the expenses, and the remaining cash in different lines.
The club planned to ask for more donations the following week. It did not announce that more money had already arrived. On the final page of the report, Ken wrote, “Promise, payment, spending, and balance are different. Use numbers from the correct record before saying what our group has achieved.”
